4. AI-Assisted Summaries
BFD Tutors may use internal AI tools to generate private meeting summaries and action items. These are used only to improve student support and are treated as confidential tutoring records. Students and clients may not use automated recording, transcription, or AI-capture tools in sessions without prior written consent.
5. Legal Basis
We process personal information where it is necessary to deliver tutoring services, manage a client relationship, comply with legal and accounting duties, or pursue legitimate business interests in providing and improving educational support.
6. Retention
- Financial and contract records are retained for 6 years for HMRC and business compliance.
- Standard academic, contact, and tutoring support data is normally deleted 12 months after the tutoring relationship ends.
7. Sharing Information
We do not sell personal information. Information may be processed by trusted service providers used for scheduling, email, invoicing, file storage, or internal productivity, where this is necessary to run the service.
